Who is responsible for your information

Let’s Pretend is operated by LETS PRETEND AND PLAY C.I.C., Company No. 13483819, a Community Interest Company registered in England and Wales.

Registered office: 74 Wharton Terrace, Hartlepool, TS24 8NX. This is the company’s registered office, not the visitor venue.

Browsing this website

This is an information website. Images and fonts are served with the site. There is no contact form, customer account, newsletter signup or payment checkout. The site has no analytics or advertising trackers, embedded social feeds or maps. Its code does not set cookies or save visitor information in browser storage. Menu and gallery interactions stay in your browser.

Technical information

Cloudflare provides this website’s hosting and delivery infrastructure. When you visit, Cloudflare handles technical connection and request information, including your IP address and the requested page or file, to deliver the website. It may also process traffic and security information to operate and protect its services. Our basis for the delivery and protection of this website is our legitimate interest in providing a reliable, secure information service.

This is a static website: it has no application server, customer database or custom request-log collection. We have not enabled Cloudflare Web Analytics for this site. That does not mean Cloudflare processes no technical information. Its Privacy Policy explains its end-user and network processing.

Cloudflare’s response headers also instruct compatible browsers to send network-failure reports to its reporting service. This is infrastructure diagnostics, separate from page-view analytics or advertising tracking. See Cloudflare’s Network Error Logging information.

Contacting the venue

The email and phone links open your email or calling application. They do not submit information to this website. If you contact the venue, you may provide your name, contact details and the information in your enquiry. Please share only what the team needs to answer you; do not send payment-card details by email.

We use the details you give us to answer your enquiry, discuss a visit or party, and deal with booking questions. For a booking you ask us to arrange, the basis is taking steps at your request before a contract or performing our agreement with you. For general enquiries, the basis is our legitimate interest in answering people who contact the venue. We use relevant correspondence when handling a complaint or dispute, based on our legitimate interest in resolving it. Where the law requires us to keep a record, the basis is that legal obligation.

Bookings and payments on Bookwhen

Booking links take you to Let’s Pretend on Bookwhen. We use the information you provide through the booking process, together with your session, ticket and booking records, to arrange and administer your visit. The particular attendee information requested depends on the booking form for the session you choose. This information is entered on Bookwhen, not through this website.

Bookwhen is the external platform and processes customer booking information on our behalf under its Data Processing Agreement. The company remains responsible for how it uses that information to run its bookings. Bookwhen also has its own responsibilities for operating its service, described in its Privacy Policy.

Online payment takes place through the payment service connected to the Bookwhen booking process. This website does not receive or store payment-card details. Check the payment information shown when booking and the relevant provider’s privacy notice. Booking and payment-confirmation records used to administer a visit are separate from card details.

Reviews, photographs and external links

The homepage includes a curated review excerpt attributed to Emma Charlotte, shared publicly by the venue in July 2022, with a link to its source. The Facebook recommendation figure is a dated snapshot, not a live feed. The site does not retrieve your Facebook profile or fetch reviews from Facebook.

Following a Bookwhen, Facebook, Instagram or Google Maps link opens that external service. Its own privacy and cookie rules apply there. Those services are linked rather than embedded: their cookies are not cookies set by this website.

How long information is kept

We retain personal information only as long as necessary for its purpose. Relevant purposes include answering an enquiry, administering a booking or refund, resolving a complaint or dispute, and meeting applicable legal recordkeeping requirements. The reason for keeping a record, whether the matter is still open, and any legal requirement determine how long it is needed.

Retention of customer information in Bookwhen is also subject to the account’s settings. Bookwhen provides an optional automatic deletion setting for inactive customer profiles; no specific deletion interval is promised here. When that feature deletes a profile, Bookwhen says it removes personal information linked to historic bookings while retaining booking records for reporting. See its data retention guidance. This does not mean that our account has automatic deletion enabled, or that separate enquiry records are deleted at the same time.

Cloudflare applies its own purpose-based and legal retention criteria to infrastructure information, described in its Privacy Policy. We do not promise a fixed deletion interval for Cloudflare’s technical records.

Services used to handle your information

Bookwhen processes booking information for us. Email and telephone service providers handle the communications made through those channels, and the payment provider handles payments made through the booking process. These services receive the information needed for the relevant communication or booking. Please contact us if you need more information about the service involved in your enquiry.

Bookwhen’s published supplier information and Data Processing Agreement describe its processing arrangements, including safeguards for international transfers. Following an external link brings you within that service’s own privacy arrangements.

Cloudflare supplies the hosting infrastructure and processes relevant website data under its Customer Data Processing Addendum. Its global network and suppliers may process information outside the UK. The addendum describes international-transfer safeguards, including standard contractual clauses with the UK Addendum where applicable. You can contact us for information about the relevant safeguards.

Security

Please do not send payment-card details or unnecessary sensitive information in a general enquiry. This website provides no form or checkout for sending it. Bookwhen publishes information about its data protection and security arrangements. Contact the company if you have a concern about customer information it handles.

Your data-protection rights

Depending on the processing and lawful basis, you may have rights to access your personal information, correct it, request erasure or restriction, object to processing, or receive and transfer information. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing. These rights have conditions and exceptions.

Contact the venue using the details above. You can also raise a concern with the UK Information Commissioner’s Office (ICO). The ICO’s guidance for the public explains these rights.

Changes to this policy

We update this policy when the website or relevant processing arrangements change. The date above identifies this version.
